Baton Services, LLC ("Baton," "we," "us") operates a back-office platform (accounting, payroll support, compliance, fleet, and related services) for our client businesses. This policy explains what information we collect through the Baton platform (baton.services), why, and how it's protected.
Baton is business software used by our clients' owners, staff, and the employees, vendors, and customers whose records our clients ask us to manage. It is not a consumer product, and it is not directed at children.
Information we collect
What we collect depends on your relationship to Baton:
- Account & sign-in. Name, email address, and (if you sign in with Google) your Google account identifier. We use this to authenticate you and control what you can access.
- Records our clients manage through Baton. On behalf of the businesses we serve, Baton stores the information needed to run their back office: employee and contractor records (which can include Social Security numbers, driver's license numbers, dates of birth, and bank account numbers for payroll and onboarding), customer and vendor business records, insurance certificates, and vehicle and equipment records.
- Uploaded documents. Forms and files uploaded to Baton (IDs, vehicle titles and registrations, insurance certificates, W-9s, and similar records) are stored and, in some cases, read by an AI service to extract the relevant fields automatically.
If we hold your personal information because a business we work with submitted it to Baton on their own behalf (for example, as their employee or customer), that business is responsible for the collection and for telling you about it; contact them directly with requests about your information, or contact us and we will route it to them.
How we use information
- To authenticate users and control access to the platform
- To provide the services our clients engage us for: accounting and QuickBooks synchronization, payroll support, sales tax calculation, document processing, insurance certificate tracking, and fleet/asset recordkeeping
- To communicate with users about their account or a submission (for example, a certificate renewal notice or a document-review request)
- To maintain the security and integrity of the platform
We do not sell personal information, and we do not use it for advertising.
How we share information
We share information only with the service providers that let Baton function, and only as needed to provide it:
- Google: for Google Sign-In authentication, and for AI-based extraction of data from uploaded documents
- Intuit QuickBooks: to synchronize accounting and job records for clients who use QuickBooks
- Avalara (AvaTax): for sales tax calculation and address verification
- Our email delivery provider: to send account, renewal, and notification emails
- Cloud infrastructure providers: to host the platform and store uploaded documents securely
We may also disclose information if required by law, or to protect the rights, property, or safety of Baton, our clients, or others.
Data security
Particularly sensitive fields, including Social Security numbers, driver's license numbers, and bank account numbers, are encrypted at rest. Access to Baton is authenticated and scoped to the specific business and role a user belongs to, so one client's staff cannot see another's records.
Data retention
We retain information for as long as needed to provide services to the client business it belongs to, and as required by law, contract, or legitimate business need (such as tax and employment recordkeeping requirements). When a client business ends its engagement with Baton, we work with them on the disposition of their data.
Your choices
If you're an employee, contractor, or customer of a business that uses Baton and want to access, correct, or ask questions about information held about you, the fastest path is usually that business directly, since they control what's entered. You're also welcome to contact us below and we'll help.
Cookies
Baton uses a single authentication cookie to keep you signed in. We do not use third-party advertising or tracking cookies.
Changes to this policy
We'll update this page if our practices change and update the effective date above accordingly.
